What is BudgetAtlas?

BudgetAtlas is a forward-planning budgeting tool, not an expense tracker. Instead of looking back at where your money went, BudgetAtlas helps you plan ahead so you know exactly where every pound will go before you spend it.

Why Use BudgetAtlas?

Unlike expense trackers that show you where your money went, BudgetAtlas lets you visualize and plan where your money will go. Think of it as a map for your month — you chart your course before you start the journey.

Understanding the Features

A detailed walkthrough of every feature and what it does for you.

Monthly Income

This is your total expected income for the month. This is the foundation of your budget — the amount you have available to allocate.

What to Include:

  • • Salary/wages (after tax)
  • • Freelance or side income
  • • Benefits or regular payments
  • • Any other regular income sources

Budget Usage Progress Bar

The visual progress bar at the top of the app shows how much of your monthly income you've allocated to expenses. It changes color to give you instant feedback:

Green (0-75%)

You're in a healthy range with room to spare.

Yellow (75-95%)

Getting close — be mindful of remaining funds.

Red (95%+)

Over budget or very close. Time to adjust.

Expense Items & Fields

This is where you add each expense item. Each item has several fields:

ITEM

The name or description of the expense (e.g., "Rent", "Netflix", "Weekly Groceries").

CATEGORY

The type of expense (see Categories section below). This helps organize your spending and auto-assigns to a 50/30/20 rule bucket.

PRICE (£)

The cost for one occurrence of this expense.

FREQUENCY

How many times this expense occurs per month (e.g., 1 for monthly rent, 4 for weekly groceries, 2 for fortnightly phone bill).

50/30/20 BUCKET

Whether this is a Need, Want, or Savings/Debt item (see 50/30/20 Rule section). This is auto-assigned based on category but you can override it.

MONTHLY TOTAL

Calculated automatically: Price × Frequency.

% OF BUDGET

What percentage of your monthly income this item represents.

Multiple Budgets

You can create, save, and manage multiple budgets. This is useful for planning different months, comparing scenarios, or managing budgets for different purposes.

  • Create: Click "Create New Budget" and give it a descriptive name (e.g., "March 2026", "Holiday Budget").
  • Load: Select from the dropdown and click "Load" to switch between budgets.
  • Duplicate: Make a copy of the current budget to use as a template for next month.
  • Edit: Rename a budget to keep things organized.
  • Delete: Remove budgets you no longer need.

Spending Distribution Chart

A pie chart shows how your budget is split across different categories. Each slice represents a category, color-coded for easy identification. The legend shows the percentage each category takes up.

💡 Tip: Enable Budget Guidelines

Toggle "Show budget guidelines" to see if any category is taking up more of your budget than recommended. Orange or red indicators will appear next to categories that exceed common financial benchmarks.

Export PDF Report

Generate a professional PDF report of your budget with a summary, detailed breakdown table, and color-coded pie chart. Perfect for printing, sharing, or keeping records. The PDF is created entirely in your browser — no uploads required.

Backup & Restore Your Data

Export all your budgets to a secure backup file and import them on any device or browser. Your data stays completely private—BudgetAtlas never sees or stores your backup files.

Export Data to File

Creates a backup file containing all your budgets and settings. The file is saved to your device—not uploaded anywhere.

How to Export:

  1. Scroll to the bottom of the app (Data Management section)
  2. Click "Export Data to File"
  3. A file named budgetatlas-backup-YYYY-MM-DD-HHMM.json will download
  4. Store this file somewhere safe (e.g., cloud storage, USB drive, or email it to yourself)

Import Data File

Restores your budgets from a previously exported backup file. Perfect for switching devices or browsers, or recovering your data.

How to Import:

  1. Click "Import Data File"
  2. Select your backup file (.json)
  3. Confirm the import if you have existing data (it will be overwritten)
  4. Your budgets will be restored and the app will reload automatically

🔒 Privacy & Security

  • Zero cloud storage: Your backup file is saved directly to your device.
  • BudgetAtlas never sees your data: The export/import happens entirely in your browser.
  • Full control: You decide where to store your backup file (email, cloud drive, USB, etc.).
  • Cross-device compatible: Import your backup on any device or browser.

💡 When to Use Backup & Restore:

  • Switching devices: Moving from desktop to laptop or phone
  • Browser changes: Switching from Chrome to Firefox, or trying a new browser
  • Regular backups: Keep monthly backups of your financial planning
  • Clearing browser data: Before clearing your browser cache/cookies
  • Sharing scenarios: Export to compare budgets with a partner (though we recommend keeping financial data private)

Understanding Categories

Categories help organize your expenses and auto-assign them to the correct 50/30/20 rule bucket. Choose the category that best fits each expense.

Accommodation

Housing-related costs and home essentials.

Examples:

Regular bills and subscription services.

Examples:

Food shopping and household essentials.

The 50/30/20 Rule

What is the 50/30/20 Rule?

The 50/30/20 rule is a simple budgeting guideline that divides your after-tax income into three categories:

50% Needs

Essential expenses you must pay to live and work.

How BudgetAtlas Uses the 50/30/20 Rule

BudgetAtlas automatically assigns each expense to a bucket (Needs, Wants, or Savings/Debt) based on its category. For example:

  • Accommodation, Groceries, Utilities, Vehicle, TransportNeeds
  • Social & Leisure, Shopping & PersonalWants
  • Savings & FinancialSavings/Debt

💡 You Can Override the Auto-Assignment

After calculating your budget, you'll see each item's assigned bucket. If you disagree with the assignment, you can manually change it. For example, if you consider Netflix a "Want" rather than a "Need", you can reclassify it.

Why This Matters

The 50/30/20 rule breakdown in BudgetAtlas shows you if your spending is balanced. If you're spending 70% on needs and only 5% on savings, you can see the imbalance and adjust.

⚠️ Be Honest With Yourself

The 50/30/20 rule only works if you're honest about what's a Need vs. a Want. A £100 gym membership might feel essential, but if you rarely use it, it's a Want. Netflix might feel like a Need, but it's entertainment — a Want. Honest categorization leads to accurate budgeting.

Get the most out of BudgetAtlas with these practical tips.

📅 Plan Before the Month Starts

Build your budget at the end of the previous month or at the very start of the new month. This gives you a roadmap before you start spending.

🔍 Be Realistic, Not Optimistic

Don't underestimate costs. If you usually spend £200 on groceries, don't budget £150 and hope for the best. Use real numbers.

💡 Account for One-Off Costs

Birthdays, car repairs, annual subscriptions — these aren't monthly, but they still need to be budgeted. Add them in the month they occur.

💰 Include Savings as an Expense

Treat savings like a bill. If you want to save £200/month, add it as an expense item under "Savings & Financial". This ensures you prioritize it.

🔄 Review and Adjust Monthly

Life changes month to month. Use the "Duplicate Budget" feature to copy last month's budget, then tweak it for the new month.

📊 Use the Pie Chart & Guidelines

Enable "Show budget guidelines" to see if you're spending too much in any one category. Orange or red warnings mean you're exceeding common benchmarks.

📄 Export PDFs for Record-Keeping

Save a PDF of each month's budget for your records. This helps you track progress over time and see where you've improved.

🎯 Be Honest About Needs vs. Wants

The 50/30/20 breakdown only works if you're truthful. Don't call a luxury item a "need" just to feel better. Honest budgeting is effective budgeting.
